After School FAQ

Dear Families,
Thank you for your continued interest and commitment to the Gaynor After School program. In an effort to provide clear and concise information, we have created this helpful tool consisting of many “FAQs.” Please reference this resource for answers to frequently asked questions pertaining to the After School program. Frequently Asked Questions – Spring 2025

General

Who is in charge of the After School program?

John Greco is the After School Director and can be reached at jgreco@stephengaynor.org. Please note that Coach Greco is also a full-time Physical Education Coach at Gaynor, and with a full teaching schedule, his ability to quickly respond to emails during the day may vary. We appreciate your patience with regard to email response time.

When does registration for the spring semester of the After School program begin?

Registration for the spring semester of After School will launch on Wednesday, January 8, at 10:00 am. Please make the necessary arrangements to be available at this time, as many of the popular classes will reach the maximum student capacity very quickly.

When does the spring semester of the After School program begin and end?

The spring semester will begin on Monday, January 27, and conclude on Wednesday, June 4, 2025.

On which days is the After School program in session?

The After School program takes place Monday through Thursday. There is no After School on Fridays. There is no After School programming on school-observed holidays, early dismissal days, or in-service days.

What time does After School start and end?

The first session of After School is from 3:00 pm-4:00 pm. The second After School session (Late Study Hall only) is from 4:00 pm-5:00 pm. The After School program will again offer an “extended day” class option, which runs from 5:00 pm-5:30 pm. 

Where is dismissal from After School?

After School dismissal occurs at 4:00 pm outside the North Building entrance/exit on 90th Street. Late Study Hall, which dismisses at 5:00 pm, is also at the same location. The “extended day” class will also be dismissed from the same location at 5:30 pm. Families/caregivers are to wait outside the building until their child’s teacher dismisses them from the group upon exiting the school.

Who do I notify if my child will not be attending After School on a specific day?

 If your child will not be attending After School on a specific day, please be sure to notify the following staff members:
– Your child’s classroom teacher(s)
– John Greco: After School Director (jgreco@stephengaynor.org)
– dismissal@stephengaynor.org
Within your communication, please include all pertinent information, including:
– What time your child will dismiss, if present for a regular school day
– Who will be picking up your child, if applicable

Can I pick up my child early from After School?

Yes, you can pick up your child early if needed. Please be sure to follow the steps listed in the previous answer above. Additionally, you must check in at the security desk in the North Building vestibule. Your child can then be met in the North Building Lobby for dismissal. 

What if I am running late to pick up my child from After School?

In this instance, please notify the following Gaynor staff members:

If your child is not picked up by 4:10 pm, they will be enrolled in “drop-in” study hall until they are picked up. The fee associated with this service is $45 per session, regardless of the amount of time your child attends for that specific day.

I know which cluster my child is in, but what is the order in which clusters are arranged?

See the image below for the cluster order. Please note: When registering for classes, for example, if the cluster range says “Red – Blue,” the Red, Orange, Yellow, Silver, Green, and Blue clusters are eligible for that class.

Registration/Payment/Withdrawal

When does registration for the spring semester of the After School program begin?

Registration for the spring semester of After School will launch on Wednesday, January 8, at 10:00 am. Please make the necessary arrangements to be available at this time, as many of the popular classes will reach the maximum student capacity very quickly.

I cannot sign up my child at the registration launch. Can a Gaynor teacher/administrator complete the process for me?

No. The enrollment process must be completed by a family member or caregiver of the child through the Parent Portal. Gaynor staff members do not have access to the Parent Portal and, therefore, cannot facilitate nor complete the process. Although some classes fill up quickly, there are many options to choose from that should be available for several days or weeks. Please make the necessary scheduling accommodations before registration launch to ensure adequate preparedness. 

Will I know the teacher(s) facilitating each class and the student roster in advance of the start date?

 No. Class rosters will NOT be shared to protect the confidentiality and privacy of all students and families. Additionally, After School teaching assignments are often adjusted to meet the needs of the respective class based on a myriad of factors. Therefore, this information is received on the first day of the experience. In an unusual or emergency situation, the After School Program reserves the right to change any class’s structure, content, or instructor to ensure the students are safely supervised. This includes the cancellation of a class with less than three enrolled participants. In this instance, a class switch can be explored (pending availability) or a full refund can be issued. Parents will not be contacted if there is a change due to unexpected circumstances, such as instructor absence, change of venue within the buildings, etc.

What do I need to do to prepare for registration?

Before registration launch, please ensure the following steps have been taken to be fully prepared:
– Have your form of payment accessible and ready during registration launch. This step helps to save time and increases the likelihood of enrollment within the desired class(es).To be fully enrolled in the class, payment must be made during the registration process. If you sign up for a class without submitting payment, the system will bypass your registration for others who fully complete the payment process, which could result in being waitlisted, and thus, potentially losing your child’s spot on the active class roster. Please note that class roster sizes cannot be expanded to accommodate waitlisted students. The number of roster spots for each class is predetermined to meet the requirements/needs of the program.
– You have reviewed the registration instruction video including the payment information section.
– Your technology/devices are up to date (we recommend using a desktop/laptop for this process instead of a phone/tablet).
– You are familiar with accessing the Parent Portal and the accompanying After School registration link.
– You have previewed the After School Course Catalog in advance and have a plan set in place for each day the service is needed. Having a “backup plan” in the form of alternative class options within the program is highly recommended in the event a desired class has already reached the maximum student capacity.
– You have cross-referenced the preferred After School class choices against other activities your child participates in (Athletics, school musical, tutoring, OT, religious obligations, etc.) to mitigate any scheduling conflicts.
– Receiving and keeping your financial aid code readily accessible during the registration process, if needed.

My child would like to participate in an After School class that does not include their cluster range. Can you make an exception?

No. Each class is designed in advance with developmentally age-appropriate lessons and activities for students within the associated clusters. Maintaining a specific cluster range for each class also assists in creating a positive social-emotional learning environment for students in similar stages of development. Additionally, the registration system will not allow the process to be completed if attempting to enroll in a class that does not match the cluster range of the student.

My child did not get into the class of their choice. Can you make a special accommodation?

No. After School registration is conducted on a “first come, first served” basis. Additionally, class registration does not automatically roll over from one semester to the next (securing enrollment in the fall semester does not guarantee a roster spot for the spring semester).

How do I sign up my child for Drop-In Study Hall?

Drop-in Study Hall is an option for families to make specific study hall requests on a particular day or days. In terms of scheduling, this request must be made by no later than 12:00 pm on the drop-in day for each day the service is needed. The fee associated with this service is $45 per session (and $25 for the Extended Day class option). This feature can be found within the “My Family” section of the Parent Portal or by clicking here. This option is for Red, Orange, Yellow, Silver, Green, and Blue Cluster students and is only available when the After School program is in session. This option is only available when the After School program is in session. No “drop-in” requests are permitted for any other After School class offerings. 

How can I add another After School class for my child?

Additional classes can be added by accessing the After School Course Catalog within the Parent Portal until Friday, February 14. After this date, no classes can be added for the remainder of the semester.

Can I switch my child’s After School class(es), either on the same day or another day?

Please email John Greco, After School Director (jgreco@stephengaynor.org), to request an After School class switch. Requests of this nature will be honored until Friday, February 14. After this date, After School class rosters will be finalized, and no additional changes will be permitted. Please note that students cannot switch classes indiscriminately based on their preferences. This includes study hall students who do not have homework on a specific day and wish to join their friends or classmates in another After School class. This is largely due to maintaining accurate attendance while knowing where each student is scheduled to be during After School.

How do I withdraw my student from an After School class?

Please email John Greco, After School Director (jgreco@stephengaynor.org), to request a withdrawal from an After School class. Requests of this nature will be honored until Friday, February 14. After this date, After School class rosters will be finalized, and no additional withdrawal and/or refund requests will be permitted.

What is the After School refund policy?

Students participating in the After School Program may withdraw from their respective class(es) between Wednesday, January 8, and Friday, February 14, to receive a full refund. After Friday, February 14, the refund period is officially closed. The Gaynor Business Office will see all refund requests placed before the deadline through to completion. This process takes approximately thirty days from the end of the add/switch/withdrawal period (Friday, February 14).

Interscholastic Athletics and After School

What is the difference between the After School program and the Interscholastic Athletics program?

The After School program is a club-based enrichment program that functions as an extension of the school day. The Interscholastic Athletics program consists of our Green and Blue Cluster sports teams who practice and compete against neighboring schools within the community.

Who is in charge of the Interscholastic Athletics program?

Can my child participate in both the After School AND Interscholastic Athletics programs?

Yes, students can participate in both the After School and Interscholastic Athletics programs. Listed below are the important dates associated with both programs:

After School Fall and Spring Semester Start and End Dates
After School (Fall Semester): Monday, September 16 to Thursday, January 23
After School (Spring Semester): Monday, January 27 to Wednesday, June 4

Interscholastic Athletics Program Season Start and End Dates
Athletics (Fall Season): Monday, September 9 to Thursday, November 7
Athletics (Winter Season): Monday, November 18 to Thursday, March 6
Athletics (Spring Season): Tuesday, April 1 to Thursday, May 29

Please note that the spring semester of After School does not align with the winter and spring seasons of Athletics. If your child participates in both programs, they can choose whether to attend their After School class(es) or Athletic Study Hall, both of which occur from 3:00 pm-4:00 pm. Often, if a student has an abundance of homework, they will attend Athletic Study Hall and skip their After School class. If the student has a limited amount of homework, they can attend After School instead. The only exception is when the student’s Athletics team needs to travel to an off-site game location, which, may preclude them from participating in either Athletic Study Hall or After School on that day. 

***There are no partial or prorated refunds issued if a scheduling conflict exists between both programs.***
